Resource Coordinator

Ottawa Innercity Ministries is a Christian, interdenominational ministry serving people experiencing poverty, homelessness, and marginalization in downtown Ottawa. We do this through a variety of outreach programs, and supportive relationships that reflect the love of Christ. We are seeking a Volunteer and Program Coordinator to help ensure our volunteers and programs are well supported so that our street friends experience consistent, compassionate care.

Position Summary

The Resource Coordinator is responsible for logistical support to all OIM programs. This part‑time role is highly relational and administrative, combining good interpersonal skills, material logistics and budget management which combine to enable the delivery of all OIM ministries.

Key responsibilities

Reporting directly to the Executive Director, the Resource Coordinator (RC) is responsible for:

  • Supervising a team of approximately 12 volunteers in providing logistical support as may be required for the efficient delivery of OIM’s various ministries.

  • Coordinating sandwich making/baking in support of OIM’s outreach activities.

  • Managing donations by processing received donations and related supplies (sort, document, organize, and store either on-site or at OIM’s Dymon storage unit in Kanata).

  • Thanking individual donors by phone, email, or letter.

  • Disposing of or re-donating items not needed by OIM.

  • Maintaining a list of current needs both in the office and on the website.

  • In special circumstances, picking up donations at the donor's home or coordinating volunteers to pick up donations.

  • Managing the pantry and related food which we receive from the Food Bank (FB).   Order food stuffs weekly from the FB. Receive FB order on Monday mornings. Manage a team of volunteers who unpack and portion FB donations. Report to the FB how and to whom food donations are distributed. Maintain an accurate list of FB clients and update the list weekly.

  • Managing Dymon storage unit. Keeping an up-to-date inventory of its contents. Moving items from storage to the office, and vice versa, when needed.

  • Consulting with ministry leaders and purchase items needed for replenishment and subsequent distribution.

  • Managing all meal-trains. Actively seek individuals to participate in this type of donation. Communicate with donors through the platform.

  • Assisting staff team when needed, including helping with special meals, volunteer appreciation party, volunteer Christmas party, fundraising events, public speaking, administrative tasks etc.

  • Maintaining all donation records on Excel.

  • Providing statistics when requested by the OIM Business Manager.

  • Tracking volunteer hours.

  • Managing a larger groups of volunteers who come in on an annual or bi-annual basis to do deeper cleaning/organizing.

Qualifications

Education and experience
  • Community College Diploma in a relevant discipline.

  • 3–7 years of progressively responsible experience in logistics management, preferably in a nonprofit or ministry setting.

  • Competency with Microsoft Office suite

Skills and competencies
  • Personal, growing Christian faith and lifestyle consistent with OIM’s Christ‑centred mission and statement of faith.

  • Agreement with serving people living in poverty and homelessness with dignity, respect.

  • Experience in logistic coordination, (paid or significant volunteer experience).

  • Experience in managing budgets.

  • Strong interpersonal and communication skills, able to build trust with volunteers, staff, and suppliers.

  • Ability to work independently, as a team leader, and as part of a senior team.

  • Problem solving, negotiating, and decision-making skills required to coordinate the logistic needs of OIM.

  • Strong planning, organizational, analytical, leadership and coaching skills required to coordinate OIM’s logistic requirements.

  • Ability to set priorities and deal effectively with conflicting demands.

  • Proficiency in Word, Excel, PowerPoint and Outlook;

  • Bilingualism an asset. 

  • Ability to work some evenings (and occasional weekends) to be present at key programs and connect with volunteers on site.

  • Police check with vulnerable sector screening (or willingness to obtain) and a positive pastoral/church reference.

  • Agreement with OIM Statement of Faith.

Position details

  • Employment type: part-time, 22.5 hours per week.

  • Hourly wage range: $23.00 - $28.00

  • Reports to: Executive Director.

  • Location: Primarily on‑site in downtown Ottawa at 391 Gladstone Avenue. Some remote work is possible.
