Resource Coordinator

Reports to: Business Operations Manager | Part-time, 22.5 hrs/week | $23.00–$28.00/hour | Based at 391 Gladstone Ave., with some evenings and occasional weekends

About OIM

Ottawa Innercity Ministries (OIM) is an interdenominational Christian charity that mobilizes volunteers and builds partnerships to serve Ottawa's inner-city community — meeting spiritual, emotional, social, vocational, and physical needs, and addressing the root causes of poverty and homelessness with compassion.

How This Role Advances OIM's Theory of Change

OIM's Theory of Change names four co-equal long-term outcomes — no one is a means to another. The Youth Program Coordinator (YPC) is the primary steward of all four for OIM's youth:

  • A. Dignity & stability — Street Outreach, Door Outreach, Winter Wear, Special Event Dinners and other ministries are reliably stocked with good-quality food, clothing and essentials. Goods are sorted, stored and distributed in ways that honour the people who receive them.

  • B. Potential & agency — The pantry and donation systems support choice wherever practical. Volunteers, and where appropriate street friends themselves, are given meaningful roles that use their gifts and help them grow.

  • C. Spiritual growth & dependence on God — Daily gospel presence on the streets is never interrupted by a lack of supplies. The Resource Coordinator models prayerful dependence on God and treats provision as an act of stewardship and faith.

  • D. Mobilized church — Churches, families, businesses and volunteer groups have clear, well-supported ways to give and serve, such as sandwich-making, baking, meal-trains, donation drives and group workdays. They are thanked promptly and invited into sustained partnership.

The Opportunity

Every day OIM is on the streets of Ottawa, and every day that presence depends on resources: sandwiches and baking, food from the Ottawa Food Bank, winter wear, toiletries, bedding and supplies. It also depends on the donors, churches and volunteers who provide them. The Resource Coordinator makes sure all OIM's program-ministries have what they need, when they need it, so our street friends receive consistent, compassionate care.

This part-time role combines relationships, logistics and administration. You will lead a team of about 12 volunteers. You will manage donations, the pantry and OIM's storage unit, look after our donors with gratitude, and keep the accurate records that let OIM show its impact. In OIM's Theory of Change, your work is the supply line behind our daily gospel presence. It is also one of the main ways the wider church puts Matthew 25 into practice.

What You'll Do

Resourcing Daily Outreach

  • Consult regularly with ministry leaders to anticipate needs and purchase items for replenishment and distribution within budget.

  • Coordinate sandwich-making and baking by volunteers and church partners in support of OIM's outreach.

  • Maintain a current list of needs in the office and on the OIM website, so donors give what makes the greatest difference.

  • Manage all meal-trains: actively recruit individuals and groups to take part and communicate with donors through the platform.

Food Bank Partnership and Pantry

  • Manage the OIM pantry and all food received from the Ottawa Food Bank.

  • Place the weekly Food Bank order and receive deliveries on Monday mornings.

  • Lead the volunteer team that unpacks and portions Food Bank donations.

  • Keep an accurate list of Food Bank clients, update it weekly, and report to the Food Bank on how, and to whom, food is distributed.

Donations and Donor Stewardship

  • Process all material donations received: sort, document, organize and store them either on-site or at OIM's Dymon storage unit in Kanata.

  • Thank individual donors personally and promptly by phone, email or letter, so every gift is acknowledged as a partnership in ministry.

  • Re-donate or responsibly dispose of items OIM cannot use, working with partner agencies wherever possible.

  • In special circumstances, pick up donations from donors' homes or arrange for volunteers to do so.

Storage and Inventory

  • Manage the Dymon storage unit and keep an up-to-date inventory of its contents.

  • Move items between storage and the office as needed, making sure seasonal needs (such as winter wear) are stocked ahead of demand.

Records, Data and Reporting

  • Keep complete and accurate donation records in Excel and in DonorSnap as OIM's systems develop.

  • Provide statistics to the OIM Business Manager when requested, including data used for Theory of Change indicators, grant reports and the board.

  • Manage the resource budget responsibly: track spending, compare costs, and make sure designated gifts are used for their intended purpose.

Volunteer Leadership

  • Supervise, encourage and support a team of about 12 volunteers who provide logistical support across OIM's program-ministries.

  • Plan and lead larger volunteer groups, such as churches, schools and workplaces, who come in once or twice a year for deeper cleaning and organizing.

  • Track volunteer hours accurately.

  • Work with the Business Operations Manager on volunteer recruitment, screening, scheduling and recognition, so resource volunteers have the same trauma-aware, Christ-centred orientation as all OIM volunteers.

Donations and Donor Stewardship

  • Help the staff team with special meals, the volunteer appreciation party, the volunteer Christmas party, fundraising events and administrative tasks.

  • ​Speak publicly about OIM's needs and ministries at churches and community events when asked.

  • Take part in staff meetings, prayer times and team-building activities as part of the OIM staff community.

  • Be present at key programs some evenings and occasional weekends to connect with volunteers and street friends on site.

  • Perform other related duties as required.

Qualifications

Education and experience

  • A university degree or a community college diploma in a relevant discipline, or an equivalent combination of education and experience.

  • ​3–7 years of progressively responsible experience in logistics coordination, paid or significant volunteer experience, preferably in a nonprofit or ministry setting.

  • Experience managing budgets.

  • Experience supervising or coordinating volunteers.

  • Experience with, or a clear heart for, people experiencing poverty and homelessness.

Skills and competencies

  • Strong planning, organizational, analytical, leadership and coaching skills.

  • Problem-solving, negotiating and decision-making skills to meet OIM's logistical needs.

  • ​Ability to set priorities and handle conflicting demands, such as a Monday Food Bank delivery, an urgent outreach need and a donor pickup on the same morning.

  • ​Strong interpersonal and communication skills, and the ability to build trust with volunteers, staff, donors and suppliers.

  • Strong attention to detail.

  • Ability to work independently, as a team leader and as part of the staff team.

  • Proficiency in Microsoft Word, Excel, PowerPoint and Outlook. Experience with DonorSnap or a similar database is an asset.

  • Experience managing inventory is an asset.

  • Food Handler Certification is an asset.

  • Experience soliciting donations from local businesses and community partners.

  • Demonstrated interest in identifying opportunities to improve processes and efficiency.

  • French/English bilingualism is an asset.

Conditions of Employment

  • Satisfactory police check with vulnerable sector screening, or willingness to obtain one.

  • A positive pastoral or church reference.

  • Signed agreement with OIM's Statement of Faith and Non-Fraternization Policy.

  • Ability to work some evenings and occasional weekends.

  • Completion of OIM’s Chaplaincy Program.

  • Work is primarily on-site at 391 Gladstone Ave., with regular trips to the Dymon storage unit in Kanata and occasional donation pickups. Some remote work is possible.

How Success Is Measured

  • Consistent with OIM's Theory of Change indicators, this role's impact is tracked through measures such as:

  • A. Dignity & stability; daily practical support. Outreach days fully stocked with no shortages of core supplies; items distributed by category; Winter Wear stocked ahead of the season

  • B. Potential & agency. Volunteers given meaningful resource roles; volunteers retained and growing in responsibility.

  • C. Spiritual growth; sole daily gospel presence. Days of uninterrupted outreach supported; no ministry cancelled for lack of resources.

  • D. Mobilized church; avenues of ministry. Churches, groups and individuals giving or serving (sandwich-making, baking, meal-trains, drives, group work days); volunteer hours contributed; donors moving to repeat giving.

  • E. Stewardship and accountability. Donors thanked promptly; accurate Food Bank reports and client list submitted on time; accurate Dymon inventory; complete donation records; spending within budget; statistics provided when requested.
